BDSFA Privacy Notice

THIS NOTICE EXPLAINS how the Barking & Dagenham Schools’ Football Association (BDSFA) collects, uses, and protects personal information provided by representatives of member schools and parents of district players. Information is collected under the “legitimate interests” basis outlined in the UK General Data Protection Regulation (UK GDPR), in order to effectively organise and deliver our activities.

What Data We Collect and Why

To manage the BDSFA’s programmes and activities, we may collect and hold the following personal information:

  • Name
  • School name and address
  • Telephone number
  • Email address

This information is stored in BDSFA’s digital records and may appear in relevant communications related to our work. It is used solely for the purposes of planning, organising, administering, celebrating, and governing schools’ football. Only those who require this information to carry out their roles will have access to it.

Consent and Your Rights

You will have been asked to consent to the use of your data for these purposes when you provided it. If you believe you did not give consent, or are unsure, please contact the Association Secretary at bdsfa@hotmail.co.uk.

You may withdraw your consent at any time by writing to the same address and outlining your preferences.

Data Retention and Amendments

  • At the end of each playing season, your data will be stored in the BDSFA archive.
  • If your contact details change, or if you wish your information to be removed or corrected, please inform us and we will update our records accordingly.

Player Data

Information about players is collected for the following purposes:

  • To maintain player records (names, contact details, emergency contacts).
  • To recognise and celebrate individual and team achievements.
  • To provide appropriate medical and welfare support.
  • To use approved images in publicity (subject to consent and safeguarding).
  • To maintain an archive of participation in support of the BDSFA’s historical records.
  • To keep in touch with players after their time with BDSFA (with permission).

When a player leaves the BDSFA:

  • Their participation record will be retained in the archive.
  • Contact details may be retained for continued communication—but only if explicitly requested.
  • All other data (particularly health/welfare information) will be securely and confidentially destroyed.

Data Sharing

Your information will not be shared beyond the uses described in this notice unless required to do so by English law for statutory, legislative, or regulatory purposes.
